In order to reach employees at its various, sometimes international locations anytime and anywhere, RAMPF was looking for a new intranet solution. To this end, the company brought Telekom MMS on board as its technology consulting and implementation partner.

Replacing the Intranet With a Mobile and Customizable app

Germany, the US, Canada, China, Japan, and Korea—the RAMPF Group has branches in all of these countries. In recent years, Microsoft Sharepoint served as a pragmatic solution for mapping the key points of internal communication and selected workflows across the company. However, RAMPF recognized that the possibilities for further development and modernization of the solution had been exhausted. For example, it was not possible to make information available to all employees in the same way, especially those who do not have a traditional office workplace and work in production, for example. It also proved difficult to provide personalized content for specific employee groups, implement significant changes in design or user interface, or disseminate information with the desired depth or clarity.

With a comprehensive list of requirements, RAMPF therefore set out to find a new intranet solution that would enable all employees to participate in internal communication. At the same time, the application was to be a central, digital entry point for important processes related to everyday work.

Solution

Technology Evaluation and Introduction of Staffbase

With Telekom MMS, RAMPF chose a digitalization partner with many years of project experience in consulting and implementing intranet solutions. After evaluating several technology providers, Staffbase was selected based on RAMPF's requirements. This was followed by the procurement of licenses, the technical setup of the platform, user connection, and the establishment of the relevant interfaces. In addition, workflows such as hardware requests were mapped using Microsoft PowerAutomate. Digital forms were also integrated to make processes such as sick notes, charging station requests, and community access easier and faster to handle.

Another focus was on preparing for the go-live and the associated change management to ensure user acceptance: Telekom MMS supported the introduction of the new solution in all aspects, from training for editors and content creation to planning the communication campaign. The current focus is on further developing the platform, with user surveys providing the necessary impetus for optimizing the application or adding new features.

Intranet Becomes the Heart of Internal Communication

With its new intranet, RAMPF has created the basis for centrally controlled, multilingual communication that strengthens employees' connection to the company and their identification with the employer brand. For example, there is a news channel where management provides insights into strategy and management topics.

The application impresses with its improved clarity. Company-wide news and central templates can be displayed prominently on the home page. It is also possible to tailor the content of the home page to specific employee groups. Examples include bulletin boards or pinboards for individual business units, location-specific news, local meal plans, or leisure activities. Personalized content display significantly increases the relevance of the information for the respective employee. Editors also have the option of centralized crisis communication.

Another major advantage is the accessibility of the intranet via desktop PC and app, which means that the application can be used on both work and private mobile phones. This bring-your-own-device (BYOD) approach makes it easier and more flexible to reach non-desk workers, while at the same time allowing them to benefit from access to numerous work-related processes.

Several months after introducing the solution, RAMPF can report positive results: the registration rate of 90 percent and the high level of interaction in terms of likes and comments show that the new information channel is not only accepted but also actively used, making it the centerpiece of the RAMPF Group's digital internal communication.
