To provide employees with a modern digital collaboration and meeting tool, the university hospital has commissioned Telekom MMS.

Requirements

Sensitive data protection with the highest efficiency

The days of house phones, running files, and faxes in hospital routine are over – digitalization has long since reached the healthcare sector. Administrative tasks and processes can also be mapped in the spirit of New Work. However, the top priority is safety and data protection. The applicable data protection regulations in the healthcare sector and the GDPR apply to digital communication and document management. Internal collaboration can now become significantly more efficient through instant messaging or video conferencing. However, the filing, processing, and storage of medical records, reports, and other documents must also be efficient and compliant with data protection regulations.

The University Hospital of Dresden combines 25 clinics and polyclinics, seven institutes, and nine interdisciplinary centers. Nearly 7,000 employees are employed in various areas. The collaboration tool must be able to facilitate knowledge sharing across the entire clinic and across disciplines in this complex structure.

Solution

Change Management and Webex Rollout

To identify the current state of communication structures and the exact needs of employees, the Telekom MMS team first conducted a workshop with the relevant stakeholders. Since the rollout of Webex as a collaboration and meeting tool was already set, the focus was on deriving the right change measures to enable an ideal user journey.

The transition from the familiar, analog way of working to a new, digital tool with new processes can be challenging for employees. To counteract this, Telekom MMS specialists have developed various training measures and training offers that meet the specific requirements of the hospital environment. Additionally, employees had access to open consultation hours and supportive informational materials to help them develop a confident work routine when using the new tool while adhering to safety requirements.

Since the various clinical and administrative departments have different requirements for such a communication tool, the team also created target-group-specific user journeys that illustrate the daily work with Webex. These were based on interviews and daily observations conducted with the target groups identified earlier.

This approach guarantees that all employees – medical professionals, nursing staff, administration, management – recognize the added value of the tool and the various applications in their daily work. To ensure that internal contact persons can provide advice and assistance at any time, even after the rollout, multipliers have been trained among the employees.

Through application-related and target-group-specific training, employees were able to integrate Webex into their daily work very quickly. The support throughout the entire change process and continuous assistance have successfully contributed to employees being able to work more efficiently with the digital voting and communication options. The excellence that is evident in healthcare is now also reflected in administrative processes thanks to modern digital communication. It is a strong sign of the modern work culture and of the employees who are very satisfied with the digital collaboration created by the collaboration tool.
