Like many public administrations, the district administration of Kreis Bergstraße faces a wide range of challenges, such as increasing employee workloads, a shortage of skilled professionals, and limited financial resources. Together with Telekom MMS as implementation partner, Kreis Bergstraße introduced the AI-based assistant solution Business GPT. The generative AI supports employees of the district administration in their day-to-day work by structuring information, accelerating research, and creating or summarizing texts.

In addition, the solution also supports project and task management. Through the optional upload of documents, the AI can additionally access internal content, analyze large volumes of data, and create easy-to-understand reports.

A key feature of Business GPT is its multi-tenant architecture: Different municipalities and cities within Kreis Bergstraße were connected to a shared, high-performance AI infrastructure.

Business GPT is available to all users without user-specific licensing and also meets the highest security standards, as IT security, data protection, and GDPR compliance are top priorities. Data entered is automatically deleted after a request has been completed, and the solution is operated in a data center in Europe.

The introduction of the AI solution was accompanied by Telekom MMS through workshops, ongoing consulting, and employee training in accordance with the European AI Regulation, the “AI Act.”

With the introduction of the AI-powered assistant, Kreis Bergstraße noticeably relieves the day-to-day work of its administrative employees, as they now have more time for complex and demanding tasks. Information is available faster, processes are accelerated, and data can be analyzed in a more targeted way. Citizen inquiries can therefore be handled promptly and with higher quality. 

The ability to create analyses and reports provides a sound basis for data-driven decisions in the administration.

Through shared, consumption-based use across the individual departments, the AI functionalities can also be provided cost-efficiently and flexibly.

With the use of Business GPT in Kreis Bergstraße, a scalable blueprint for digital excellence in the public sector is emerging.
