The Westfalen Group is an expert in gases, heat, cold, and sustainable mobility. The family-owned business, founded in 1923, ensures the safe use of gaseous and liquid hazardous substances for its customers through its activities.

To provide a modern guide for internal communication to the more than 1,800 employees at over 20 production sites in Europe, Telekom MMS Westfalen supported the introduction of a social intranet.

Requirements

State-of-the-Art Intranet for Cross-Country Communication

The former intranet of the Westfalen Group was more suited to top-down communication as a pure content management system; dialogue and interaction could not be implemented with this solution. The system was consistently designed for use on a desktop, and mobile access – such as in production or in the field – was not possible.

Additionally, the national subsidiaries also had various solutions for internal communication, but these solutions could no longer be combined into a group-wide internal lead medium.

Evaluations and intensive discussions with users and editors also led to the conclusion that the previous solution no longer met the requirements and expectations in terms of clarity, usability, and discoverability of content due to technical limitations.

Conception and Implementation of a Social Intranet Based on Haiilo Home

What functions does the new intranet need? What are the needs of the employees? And where are the clear priorities? In a kick-off workshop, the Telekom MMS team, together with the project management and numerous representative stakeholders of the Westfalen Group, defined the requirements for the new intranet and incorporated them into a comprehensive concept.
 
When searching for the right tool, the choice fell on Haiilo Home, a social intranet platform for employee communication. To achieve this, the experts from Telekom MMS worked with Westfalen Project Management to define all relevant settings and functions, apps, and widgets, and adapted the solution to the Westfalen branding.

During the test phase, key users were first trained on the new system and were then able to thoroughly test the suitability of central use cases, such as standard layouts and functions. This content piloting created the blueprint for a permanently viable information architecture.

Existing, relevant static content from the old intranet found a place on the new platform, as did new, dynamic content, such as current news from management, business units, and projects. With Haiilo Home, employees are not only best informed at all times about all relevant company topics, but they can also directly jump to other internal resources, for example, to Employee Self Service solutions.

To enable all employees in European subsidiaries, such as in the Netherlands, to communicate with each other in the solution in their native language, the Westfalen Group, in close consultation with the experts from Telekom MMS, decided to implement additional national languages in addition to the two company languages, German and English, to achieve the best possible acceptance for the solution.

During the implementation of Haiilo Home, Telekom was responsible for both the technical implementation and additional technical support services for MMS. To ensure high acceptance, Telekom also offered training for all editors.

New Intranet Strengthens Community Sense

The user-friendly intranet solution Haiilo Home offers employees a new digital home where they can actively exchange ideas and network with each other. From the office to production to the field service and across all national borders – involving all employees not only promotes their sense of belonging and increases motivation, but also strengthens their identification with the company group-wide.

Community in the sense of the company values #togetherness and #joy is also fostered by a tip game plug-in from Telekom MMS, which was used for the first time for the 2024 European Football Championship and contributes to the acceptance of the social intranet by employees.

The flexible accessibility of the platform via the mobile app means that it no longer matters where you are located; access is possible from anywhere.

Thanks to the uniform information architecture and simple editorial functions, editors can now publish content much faster and more easily. News will become even more up-to-date and relevant, and the editorial team will be more efficient. In particular, the individual mix of mandatory and additional subscribed content is highly accepted.
